VENDOR INFORMATION AND REGULATIONS 2026
MARKET MISSION:
The mission of Hudson Valley Open Market is to positively engage our community with farms, food, handmade goods, music and other entertainment, as well as social interaction that supports local businesses, residents, and visitors.
We are here to nurture every walk of life...no matter the path you take. love...respect...compassion.
THE MARKET:
The Market is held at the New Paltz Middle School parking lot, conveniently located at the busy intersection of State Route 32 and Main St, right in the center of town.

The market hours are every Saturday 10AM-3PM
May 2 through October 24, for a total of 26 Saturdays
VENDOR APPLICATIONS:
All applications and payments will be hosted on the Manage My Market website.
There is a one time/non refundable application fee of $15 when your original application is accepted. This goes to the management platform. This is a one-time fee/season.
Vendors must apply to HVOM annually, regardless of past years participation. Hudson Valley Open Market is under no obligation to offer or extend participation in the market to any vendor or entertainer, regardless of past participation.
Applications are to be reviewed by HVOM market managers. Vendors may only participate if accepted in the application process.
All applicants are to apply on our 2026 Market App on Manage My Market. Setting up your vendor profile is free. Then you may apply to join us.
Regarding vendor exclusivity, there is no guarantee that there will be no overlap of products or product types in the market. The decision to overlap or to not overlap products or product types is at the sole discretion of the market managers.
GEOGRAPHICAL LIMITATIONS:
All agricultural products must be produced or processed within a 100 mile radius of New Paltz, New York.
Value added products are to be majority sourced and processed within 200 miles of New Paltz, New York when possible.
AGRICULTURAL MERCHANDISE:
All produce must be grown or foraged by the farmers or helpers representing their tent, unless pre-approved by the market managers.
There will be no reselling of produce or any agricultural products, unless pre-approved by market managers. Given the approval by market managers, ag-vendors may resell produce from other farms in the region. Anything sourced from other farms must be clearly labeled as such.
PRODUCTS AND ART:
All art and hand made products are subject to review by market managers.
Market managers reserve the right to ask for any art or imagery to be removed if it is hateful, bigoted, pornographic, political, or otherwise deemed offensive.
Products may not be sourced and purchased for the purpose of being resold for profit at the market.
We support local and artist created products only.
COMPLIANCE
Vendors must comply with all applicable laws, ordinances, and regulations of the United States, State of New York, County of Ulster, the Town of New Paltz, and the Village of New Paltz regarding safe handling, storage and distribution of produce, meats, fish, dairy, highly perishable food, prepared foods, canned goods, alcohol and any other processed or potentially hazardous products.
Vendors must obtain all licenses, certifications, and permits required for the products they are vending. These documents must be able to be presented and inspected at the Market, as well as uploaded to the Manage My Market platform, upon application acceptance.
Vendors shall not be allowed to vend until all these criteria are met.
SIGNAGE:
All vendors are to have a sign/banner etc that prominently identifies their business name and location.
All vendors must clearly display available payment options and prices either on a board, or individual items at their booth. Vendors must display pricing for all of the goods at their booth.
TENT PLACEMENT, USE OF YOUR SPACE,AND MARKET:
Vendors are expected to set up and use one or two 10ʼx10’ tent(s).
Vendors will be directed as to where their tent is to be placed.
VENDORS MUST USE 4 WEIGHTS. ONE PER LEG OF THEIR 10’X10’ TENT. EACH WEIGHT MUST BE A MINIMUM OF 25LBS AND IS TO BE SUSPENDED JUST ABOVE THE GROUND.

TIPS: Empty sandbags are readily purchasable on Amazon and sand is readily purchasable at your local home store. Lining the sandbags with a small garbage bag helps keep moisture out of the bags. Other weights that weigh at least 25 lbs are welcome, as long as they can be suspended via rope or cord.
We have found this to be the safest method. Paracord or similar string and 4 very cheap carabiners are all you need.

Market managers reserve the discretion as to the location of tents placed, relocation of, or otherwise shifted to, at any time and for any reason.
All vendor product is to remain inside your designated space unless prior discussion and permission is obtained from market managers.
There is no available power at the market.
Vendors requiring power are to provide their own generator.
Generators are to be of the quiet type or have a quiet box constructed around.
A porta-potty will be on site and available for vendors and market attendees.
WEATHER AND CANCELLATION:
HVOM is a rain or shine market. Be prepared for any weather on the days you are vending. In the case of rare and extreme weather, HVOM will notify all vendors via email by Thursday evening of the potential for cancellation and will announce any cancellations by Friday evening via email and social media accounts.
HVOM is not liable for unsellable merchandise as a result of a rare cancellation. Pop-Up fees will not be charred in the event of weather-related cancellation.
CLEANUP AND TRASH REMOVAL:
All vendors are responsible for the removal of their own trash. The trash cans provided are for patrons and their refuse.
NO VENDING WASTE IS PERMITTED IN TRASH CANS.
Vendors are to leave their space exactly how they found it, if not better than how they found it. No produce, liquids (this includes water please), trash, ice, etc are to be left behind.
All spills are to be cleaned from the pavement and the area is to be swept of loose debris.
We are an environmentally conscious and caring market.
Plastic bags are banned from the Market as well as permanently banned from the Village of New Paltz. Weʼd be glad to help discuss other options for the carrying out of your goods by your patrons. Please be responsible.
PETS:
Due to our location,we ask that vendors do not bring their pets at this time. If there is an event involving pets, such as the annual Halloween pet costume contest, we would ask that only very well behaved, very well socialized pets attend.

CODE OF CONDUCT:
All vendors, staff, volunteers, and their associates, whether at the market or anywhere on the premises, must agree to conduct themselves in a professional and respectful manner that fosters a community environment where everyone is welcomed, respected, and valued.
HVOM has a zero tolerance policy for anything less.
All vendors, staff, volunteers, and their associates are to respect people of all gender, race, age, ethnicity, orientation, political views, identity, hair color, body type, music preference, or any other type of person, cat, dog, snake or rock on this planet.
Market managers will not hesitate to ask someone to leave, or have them removed, if code of conduct is broken. If a vendor is asked to leave, they will not be allowed back to HVOM, and they will not be refunded fees.
Hudson Valley Open Market and New Paltz Middle School is a smoke and alcohol free environment. You may walk off premise to take a break.
SOLICITATION:
No vendor shall engage in solicitation, collection drives, political or religious activities at the market. Any advocacy or informational displays must be approved by market managers.
INSURANCE REQUIREMENTS:
All vendors are to carry a commercial general liability insurance policy that does not exclude products. Policy limit should be a minimum of $1,000,000.00 each occurrence with an aggregate limit of $2,000,000.00.

Insurance Certificates with the Market names as additionally insured (above), as well as Ulster County Department Of Health permits, must be uploaded to Manage My Market, in order to participate in your selected market dates. Please reach out if you need help.
LOAD IN/LOAD OUT:
Vendors are responsible for their own load in/load out.
The market map and layout is at the discretion of the market managers. You will be permitted to park onsite, very close to your tent, and in some cases, right behind your tent.
Vendors are to show up no earlier than 8AM (unless prearranged with market managers) and must be set up and ready to vend by the opening of the market at 10AM.
Market managers will direct each vendor to their designated spot for that day. There is no guarantee a vendor will receive the same spot every week and the market managers reserve the right to make that decision.
Vendors MUST be set up and ready to vend by 10AM
Vendors are required to remain set up until 3PM.
Only after 3PM are vendors permitted to start breaking down for load out. Breaking down early will not be tolerated.
HVOM asks vendors to have enough product available to support the market demand during itʼs scheduled hours.
FOOD TRUCK VENDORS:
Market managers will direct food trucks as to where they will set up for the day.
Food truck vendors are to provide patrons one garbage can for refuse. Food truck vendors are to take their vending refuse at the end of each market.
Although not required, it is strongly suggested food trucks bring at least one table with chairs. This will help ensure patronʼs enjoy their stay.
Grease, oil, and food spills are to be cleaned before leaving.
All applicable certificates are to be uploaded to Manage My Market no less than 48 hours prior to scheduled market participation. Please let us know if you need help.
As with other vendors, food trucks are to remain set up and operating until 3PM.
HVOM asks all vendors to have enough product available to support the market demand during itʼs scheduled hours.
ENTERTAINMENT:
We are excited to offer entertainment to our patrons on market days, and plan to book musicians and other forms of entertainment.
Musicians/Entertainers may apply to join us by sending an email to hudsonvalleyopenmarket@gmail.com. We will begin booking 2026 entertainment in January.
A music tent with sandbags and a generator for power, will be provided by the Market.
ATTENDANCE:
Hudson Valley Open Market is a rain or shine market.
Vendor fees are due for all scheduled markets, either up front or on market day. See below for all vendor fee details.
Vendors are responsible for the dates’ fees for which they’ve been approved, regardless of attendance. Please show up for the dates you’ve been approved for.
Vendors with outstanding balances will not participate in future scheduled market dates.
Vendors may request to remove/add dates on the Manage My Market platform. If you do not get a reply to your request within a couple days, please email or text us. The approval of these changes is solely at the discretion of the market managers, and is not guaranteed.
Vendors are allowed one excused absence per season. Absences after that are subject to review by market managers.
Vendor fees are non refundable.
Multiple missed markets are subject to review by market managers and may result in removal from market participation.
VENDOR FEES:
There is a one time/season application fee of $15 to be collected upon application acceptance. This fee goes to the management platform. After acceptance, vendors may book at any time during the season. We do strongly suggest booking all/as many of your market dates ahead of the season, to secure your products’ spot.
VENDOR FEES ARE NON-REFUNDABLE.
PAYMENT OPTIONS + REGULATIONS:
All vendor fees are to be invoiced and paid on the Manage My Market platform.
All vendors must upload a payment card on their Manage My Market account, and allow auto charges for the Hudson Valley Open Market 2026.
When you sign up and get approved for your selected dates, you are responsible for those dates, and will be auto-charged for them.
All vendor fees will be auto-charged for everyone’s convenience.
We offer the following 2 payment options:
1: PAY UP FRONT
- Pay for your selected dates upon approval of your application. They will be charged to your payment card on the Manage My Market platform, at the time of application approval.
-Sign up for the full season and get 25% off your vendor fees for the season! Check out our fee schedule above. That season fee will be charged to your payment card on the Manage My Market platform, at the time of application approval.
2: PAY AS YOU GO
- Pay your vendor fee on the Market Day. Your Pop-Up fee will be auto-charged to your payment card on the Manage My Market platform, towards the end of the Market day.
